🔐 Privacy Policy: Your Trust is Our Priority

At Good AI NFP, we believe in building a future where technology is transparent and ethical—and that starts with how we handle your personal information. When you donate, volunteer, or participate in our programs, you are placing your trust in us, and we take that responsibility seriously.

This policy is designed to be clear, honest, and easy to understand. We promise not to use confusing legal jargon or over-promise on what a small team like ours can deliver.

1. The Information We Collect (And Why)

We only collect the data we absolutely need to run our programs, process your support, and keep our community safe and connected.

We Collect This Information:

Contact Details: Name, Email, Phone Number to communicate with you about your donation, volunteer role, or program enrollment. Contract or Agreement for services/programs you sign up for.

Financial Details: Payment information, Donation History to process your donations securely and maintain necessary financial records for tax and legal requirements (7 years). Contract (to process the payment) and Legal Obligation.

Program & Interest Data: Survey responses, Occupation, to tailor our program content (e.g., mentorship) to your needs and ensure we are adhering to our ethical AI pledge. Legitimate Interest (to run our NFP effectively) and Agreement (to provide you the specific program service).

Technical Data: IP Address to protect our website, troubleshoot technical issues, and publish contributor IP addresses in specific cases. Legitimate Interest (for security and website maintenance).

2. How and Where We Collect Your Data

We collect data primarily through interaction with our website, which is built on the Wix platform.

  • Forms: We collect data when you fill out our Online Donation Forms, Volunteer Sign-up Forms, Program Sign-up Forms, and Contact Us Forms.

  • Analytics: We use Wix’s website analytics to understand how people use our site, which helps us make it better. This data is generally anonymous, but it may involve your IP address.

A Note on Security and Third Parties:

We are a small NFP, and we rely on trusted, global partners to handle specialized functions securely:

  • Wix (Platform, Donations, and Email): Our website and donation processing are run through Wix. When you donate, your financial data is handled directly by Wix’s secure payment infrastructure. We urge you to review the Wix security and privacy policies for details on how they protect the data they process on our behalf.

  • AccessiBe (Accessibility): We use the Access Pro plugin to support accessibility. While it helps people access our content, it may process some technical data related to how the service is used.

We do not share or sell your personal data with any other organizations, partners, or third parties for marketing purposes.

3. Data Protection and Your Rights

Even with limited resources, your rights remain our top priority. We have taken steps to manage your data responsibly:

🛡️ Our Commitment to Security

We use the security features provided by our hosting platform, Wix, to protect your data. While no system is 100% secure, we commit to using industry-standard measures to prevent unauthorized access.

🌍 Data Protection Oversight

Our team operates across the globe (including the U.S. where we are constituted, and the Americas), but we have designated Amelia Oberholzer in London, UK, as our primary point of contact for data protection and GDPR matters. This ensures we have a knowledgeable person familiar with the EU's high standards overseeing our practices.

⏳ How Long We Keep Your Data (Retention)

We hold onto your information only for as long as is necessary to fulfill the purposes we collected it for, or as required by law:

  • Donation Records: Kept for 7 years to comply with financial and tax laws.

  • Program Beneficiary Details: Kept as long as you are actively participating in our programs, and for one year afterwards, so we can follow up on our impact.

  • Volunteer Contact Details: Kept as long as you are an active volunteer.

✅ Your Rights

Under GDPR, you have strong rights regarding your personal data. We are committed to honoring them:

  1. Right to Access: You can ask us for a copy of the personal data we hold about you.

  2. Right to Correction: You can ask us to correct data that is inaccurate.

  3. Right to Erasure ('Right to be Forgotten'): You can ask us to delete your personal data (subject to our legal need to keep financial records, like donation history).

  4. Right to Object: You can object to us processing your data (e.g., opting out of our newsletter).
